Manager, Mobile & Warehouse Operations

For more than 78 years, the USO—a private, nonprofit organization—has served the men and women of the U.S. military, and their families, throughout their time in uniform – from the moment they join, through their deployments and as they transition back to their communities.

Today’s USO continuously adapts to the needs of our men and women in uniform and their families, so they can focus on their very important mission. We operate USO centers at or near military installations across the United States and throughout the world, including in combat zones, and even un-staffed USO service sites in places too dangerous for anyone but combat troops to occupy.

The Manager, Mobile & Warehouse Operations oversees the coordination and delivery of mobile programs, services and vehicles, and manages related USO mobile staff. The position is also responsible for managing warehouse operations and staff, and ensuring proper warehouse record-keeping and regulatory compliance. Finally, the position also coordinates with others to improve mobile and warehouse operations.

Principal Duties and Responsibilities (*Essential Duties)

Mobile: (40%)

  • Ensure coverage for assigned events, including military homecomings, deployments, local programming and other marketing and public relations events. Maintain compliance with U.S. Department of Transportation regulations and USO Policies and Procedures.*
  • Maintain the USO mobile vehicle fleet in a clean appearance and ensure that mobile staff deliver services in a professional and customer-focused manner.*
  • Oversee preventive and scheduled maintenance and repairs, and registration of USO fleet vehicles*
  • Prepare and maintain all records and reports, including but not limited to safety requirements, log books, maintenance records and fuel tax forms. Submit complete and error-free records and reports on time.*

Warehouse: (60%)

  • Oversee the ordering, receipt, storage and delivery of supplies to USO locations. Ensure that inventory requests and deliveries are proper and executed.*
  • Maintain sufficient inventory and optimize inventory practices, tools and processes. Execute improvement ideas and communicate adopted improvements to direct reports and colleagues at USO locations.*
  • Coordinate, establish, and maintain a supply distribution schedule with relevant Center personnel and external parties.*
  • Coordinate warehouse and supply operations. Serve as knowledgeable resource related to transport, physical distribution, storage, and inventory management of supplies, equipment and materials that support USO programs & operations.*
  • Manage, coach and lead junior mobile operations and warehouse staff and serve as a backup when needed.
  • Other duties as assigned.

Job Specifications

  • High School Diploma or equivalent.
  • 5+ years progressively responsible work experience, including 1+ years of experience in a supervisory capacity. Relevant experience in a not-for-profit, military, multicultural and/or global organization is preferred, as is mobile and/or warehouse logistics experience.
  • Automotive Service Excellence or equivalent certification preferred.
  • Knowledge of methods, procedures involved in maintenance repairs, safety practices and techniques.
  • Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism. Ability to manage and influence external vendor relationships.
  • Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Office 365.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic accounting functions.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
  • Must be a strong advocate of the USO’s mission.
