Manager, Special Events

Department: Midwest Regional Office
Location: Chicago, IL, United States

Since 1941, the USO has been the nationís leading organization to serve the men and women in the U.S. military, and their families, throughout their time in uniform. From the moment they join, through their assignments and deployments, and as they transition back to their communities, the USO is always by their side.

Todayís USO continuously adapts to the needs of our men and women in uniform and their families, so they can focus on their very important mission. We operate USO centers at or near military installations across the United States and throughout the world, including in combat zones, and even un-staffed USO service sites in places too dangerous for anyone but combat troops to occupy.

The Manager, Special Events is responsible for planning and execution of a large volume of high-profile meetings and events annually.

Principal Duties and Responsibilities (*Essential Duties)

  • Actively manage full-cycle event planning process including but not limited to site/vendor selection and on-site management, production and delivery of event marketing collateral and sponsorship benefit packages for a wide variety of high-profile USO events.*
  • Manage and maintain relationships with current and potential suppliers and vendors.*
  • Manage event budgets, including preparation and maintenance of budget reconciliation and reporting.*
  • In coordination with cross-departmental colleagues, ensure that USO commitments to event sponsors and attendees are fulfilled, including production and delivery of marketing materials, creation and integration of sponsor benefit packages, and establishment of media plans and event timelines.*
  • Assist with development and execution of contingency plans for prompt resolution of on-site venue problems. Provide direction and guidance to on-site staff and/or volunteers.*
  • Conduct post-event evaluation, following up as needed and incorporating viable improvements into future events.*
  • May manage special events interns.
  • Other duties as assigned.

Job Specifications

  • Bachelorís Degree. CMP/CSEP preferred.
  • 3-5 years related work experience, preferably managing events or programs with 500+ and/or VIP attendees. Relevant experience in a not-for-profit, multicultural and/or global organization preferred.
  • Strong interpersonal skills. Ability to work collaboratively on a high-performing team.
  • Demonstrated proficiency in written and oral communications as well as knowledge of various software programs including but not limited to Microsoft Word, Excel, PowerPoint, SharePoint and Outlook.
  • Willingness and ability to work non-standard hours as needed.
  • Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must show initiative, self-motivation, and excellent attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic math and follow proper cash/donation handling and reporting procedures, business/accounting functions including project management and budget reconciliation.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driverís license.
  • Must be a strong advocate of the USOís mission to strengthen Americaís military service members by keeping them connected to family, home and country, throughout their service to the nation.


  • This position is located in Chicago, IL. Preference will be given to local candidates within commuting distance to the location. Remote working arrangements may be considered for highly qualified candidates.
