Accounting position is responsible for Accounts Payable invoice processing and compliance, recording of Accounts Receivable and revenue recognition entries, reporting and analysis of accounting transactions.

Principal Duties and Responsibilities (*Essential Duties)

  • Review, analyze and prepare Arlington daily cash receipt deposits to ensure funds applied in accordance with contract and established revenue recognition accounting policies and procedures.
  • Use judgement and best practices to review, analyze and record US Centers lockbox cash receipts. Ensure receipts are properly coded to open Accounts Receivable or revenue accounts according to generally accepted account principles.
  • Analyze, validate and process Accounts Payable invoices through USOís Coupa Procure to Pay system to ensure procurement and travel policy compliance. Make recommendations to Manager to improve processes and reduce bottlenecks.
  • Collaborate and support Center Managers with invoice policy compliance and issues related to Coupa workflow and overall process. Guide new users through Coupa with the intent of ensuring invoices are submitted timely and contain proper support, approval and general ledger coding.
  • Manage the Accounts Payable centralized inbox mailbox by auditing and processing out of pocket expense reimbursements for compliance as well as other tasks in accordance with USOís policy.
  • Retrieve and distribute Finance Operations mail received by USPS, mail/FedEx payments to suppliers on a weekly basis and provide internal customers and suppliers with support for inquiries.
  • Prepare journal entries in Great Plains according to generally accepted accounting principles.
  • Prepare, organize, maintain and file other accounting records including but not limited to accounts payable, cash receipts, and journal entries.
  • Draft and prepare correspondence and reports. Other duties and special projects as assigned.

Job Specifications

  • Bachelorís degree in Accounting or a Business Administration field and a demonstrated understanding of accounting principles through work experience.
  • 1-3 years of work experience in a clerical or accounting support role. Relevant experience in a not-for-profit, military, multicultural and/or global organization preferred.
  • Strong interpersonal and customer service skills. Ability to handle confidential information and communicate using multiple channels with tact and poise.
  • Proficiency in written and oral communications. Fluency in English with the ability to speak, read, and write in the language of the host country at a native level preferred.
  • Ability to perform basic accounting and business functions such as budget/account reconciliation, journal/ledger entries and banking transactions.
  • Strong knowledge of various software programs including but not limited to Microsoft Word, Excel, PowerPoint, Access and Outlook.
  • Demonstrated initiative/self-motivation, attention to detail, organizational and time management skills.
  • Ability and willingness to work overtime as needed.
  • Ability to lift and carry up to 10 pounds.

  • This position is located in Arlington, VA. Preference will be given to local candidates within commuting distance to the location. Remote working arrangements may be considered for highly qualified candidates.
