The Specialist, Development Projects & Administration is responsible for establishing and managing key processes and projects to track and drive progress of the priorities for USO’s Development team.

Principal Duties and Responsibilities (*Essential Duties)

  • Provide administrative support to the VP of Development and Major Gifts team, including scheduling, processing requests, coordinating materials, and handling day-to-day office needs.
  • Manage Leadership Council administration and support Major Gifts stewardship and communications efforts, including tracking qualifying donors, maintaining CRM records and recognition preferences, overseeing recurring gift reporting and acknowledgment processes, coordinating targeted outreach campaigns, and managing the annual communications calendar.
  • Coordinate scheduling and logistics for leadership donor engagement, including CEO and senior leadership meetings, and track related activity.
  • Maintain data integrity within Salesforce by managing donor records, applying giving society and recognition codes, tracking donor preferences, and supporting accurate reporting and follow-up.
  • Lead and support project management and process improvement initiatives for the Major Gifts team, including developing workflows, implementing systems, and ensuring consistent execution across donor operations and communications.
  • Other duties as assigned.

Job Specifications

  • Bachelor’s Degree in Business Administration, Marketing or related field. Master’s degree and/or PMP credential preferred.
  • 3-5 years work experience in business development or organizational management role. Relevant project management experience in a not-for-profit, military, multicultural and/or global organization preferred.
  • Understanding of fundraising and development best practices and policies. Strong organization and analytical skills.
  • Demonstrated ability to manage projects, implement processes, and improve workflows in a fast-paced environment.
  • Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Office Suite, Raiser’s Edge and IDMI.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic business/accounting functions including project management and budget reconciliation.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
