Project/Executive Assistant

Department: Operations
Location: Arlington, VA, United States

For over 75 years, the USO has been the nationís leading organization to serve the men and women in the U.S. military, and their families, throughout their time in uniform. From the moment they join, through their assignments and deployments, and as they transition back to their communities, the USO is always by their side.

Todayís USO continuously adapts to the needs of our men and women in uniform and their families, so they can focus on their very important mission. We operate USO centers at or near military installations across the United States and throughout the world, including in combat zones, and even un-staffed USO service sites in places too dangerous for anyone but combat troops to occupy.

The Project/Executive Assisant provides general administrative and related project/event support to the Senior Vice President of Operations and Programs and the entire USO Operations and Programs team.  

Principal Duties and Responsibilities (*Essential Duties)   

  • Serve as primary point of contact for SVP via telephone, e-mail, and in person with key internal and external stakeholders.*
  • Monitor and arrange calendars, participation in meetings/conference calls, local and international events and other activities for SVP and other department staff as directed.*
  • Conduct research and analysis in support of SVP projects necessary for participation in meetings/conference calls, local and international events and other activities. 
  • Coordinate planning, monitor budget/expenses, and measure impact and results for assigned USO initiatives.*
  • Track and report Operations and Programs project statuses and milestones for SVP and team with tracking, monitoring and reporting on all projects and activities. Collect, organize and prepare dashboards, reports, metrics, and presentations related to operational and programmatic initiatives, budgets, annual customer feedback surveys and overall program delivery.*
  • Draft and prepare correspondence, reports, and dashboards.  Coordinate and prepare materials/presentations and logistics for meetings and events.  Draft and prepare meeting summaries/minutes and attend meetings as needed.*
  • Prepare travel arrangements and process invoices, check requests and expense reports for SVP and other department staff as required and monitor SVPís budget.*
  • Provide administrative support for USOís annual Leadership Conference, Chartered Center meetings and department meetings.
  • Other duties as assigned.
Required Qualifications
  • Bachelorís Degree.
  • 5+ years work of administrative and/or analytical/reporting experience.  Demonstrated experience in using database portal/dashboard and business analytics tools desired.  Relevant experience in a not-for-profit, military, multicultural and/or global organization preferred.
  • Strong interpersonal and customer service skills.  Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Proficiency using computers and electronics equipment.  Strong background in developing PowerPoint presentations for executive use.  General knowledge of various software, applications, and programs including but not limited to Microsoft Office Suite and SharePoint.
  • Prior experience in managing, reconciling, and processing invoices.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects.  Ability to handle confidential information with tact and poise.
  • Must be punctual, organized and self-motivated, with the ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic math and follow proper cash/donation handling and reporting procedures.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driverís license.
  • Must be a strong advocate of the USOís mission.
