Position Overview: The Office Manager excels in customer relations and customer relationship management, office and project management, with human resources and administrative duties. This position is responsible for the overall daily operations, project and facility management of the USO of Illinois Administrative headquarters, including HR records management and payroll, corporate records and documents, office IT operations and support, and vendor management.

Key Responsibilities:

Managing the Office

  • Greet visitors and callers, route and resolve information requests
  • Coordinate space and office organization
  • Manage Office IT operations and work with vendors to resolve issues
  • Purchase and manage inventory of supplies and equipment
  • Coordinate office and/or departmental operations
  • Manage monthly credit card reconciliation process for all Staff credit card holders, and connect with external accounting firm bookkeeper to properly record expenses

HR Support

  • Maintains payroll records (Paid Time Off Days for all Staff) and submission of semi-monthly payroll via external HR and payroll system vendor
  • Maintains confidential personnel files
  • Works directly with HR and payroll system vendor to post HR notices and circulate news and updates from vendor to USO Staff departments

Maintains and Updates Corporate Records

  • Works with President & CEO, VP of Development and Directors to gather, organize and distribute Board, Executive and Finance Committee meeting materials
  • Communicates with USO President & CEO and Leadership Team and coordinates monthly and quarterly reports to USO Inc., per their reporting requirements
  • Records minutes at Board and Executive Committee and Finance Committee meetings
  • Prepares and files Annual Report with Illinois Secretary of State
  • Manages Bank Resolutions
  • Prepares D&O (Directors and Officers) Insurance update
  • Prepares Liability Insurance update
  • Processes Worker’s comp insurance renewal (ADP will send renewal to us)
  • Prepares USO business auto Insurance update
  • Prepares and files Corporate business License
  • Manages organization Leases

Manage Vendors

  • Works with external accounting firm professionals to gather finance materials for Board, Executive Committee and Finance Committee meetings
  • Manages Accounts payable process and processes and codes invoice/voucher packets for payments
  • Compiles and maintains cash receipts records
  • Serves as liaison and supports annual audit process with external audit firm
  • Supports preparation of information for annual audit and annual preparation of the organization’s Federal Form 990.
  • Works directly with pro bono IT management company on IT support for USO Offices and Staff


  • Assists President & CEO, Programs, Centers and Development teams on aspects of programs, events and fundraising activities as deemed necessary by the President and CEO.
  • Other duties as assigned

Qualification/Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill and/or ability required.

  • Proficient skills in Microsoft Office Suite, including: Word, Excel and PowerPoint

Education and/or Experience: Bachelor’s degree (B.A.) or a minimum of 3-4 years of commensurate experience.

Language Skills: Ability to communicate effectively with general public, client population, volunteers, donors, board members, and co-workers alike. Ability and enthusiasm to communicate the USO of Illinois’ mission in one-on-one contact, as well as in other settings.
